GPL art issue

I have recently come across some photos that I think would be great to include in campaigns. These have been taken by people in the open source community and they seem willing to allow them in wesnoth(one has confirmed that, the other not yet). The question is this: Is an email confirmation ok? Is there some other more formal thing that should be done? Any verbatim text of what it should say? Because ultimately this is a legal issue and one cannot be too careful with those. For example say we think an email to one of the devs is ok. Where is this email going to be stored? What if the dev loses the email or leaves wesnoth?

Treat photos exactly as you would treat art submissions. All that's required is to have copy in-tree under GPL and an artist/photographer who doesn't want to sue you.

In other words have the contributor post the picture here with a note it will be gpl'd or gpl'd for wesnoth use. That way we can always prove consent barring a disastrous crash.
